Privacy Policy
The Data Controller is a person who determines the purposes for which and the manner in which any personal data are to be processed. The Data Controller here at Action Adventure Activities is Ross Masterton.
What data do we hold?
Contact details of the person responsible for making a specific booking, such as,
- Booking Name
- Email address
- Phone Number
We will also ask the following from the participants,
- Full name
- Age/height/weight
- Medical conditions
- Postcode
Why do we ask for this data?
Simply put, the contact details we ask for will only be used to contact you regarding the specific booking to which they relate. For example, if your booking needs to be postponed, we may contact you by email and phone to make you aware at the earliest possible opportunity.
We ask for the participants details to make sure that participants meet the criteria of the risk assessment for any activity, such as age, height, weight, medical conditions.
All of our activities have specific age, height and weight criteria. This information is made available to the customer at the point of booking. It is assumed that the person in charge of making the booking is happy that all members of their group meet this criteria. In some circumstances, we may have to check the height/weight/age of individual participants upon arrival. These criteria is purely for the safe running of activities within their risk assessments.
Where do we store your data?
All electronic data is secured on a password protected server.
Any written information such as, the Acknowledgement Of Risk (AOR) sign in sheet is kept in a locked cabinet for a minimum of 3 years.
We ask for customers to bring digital copies of their booking, however, if customers arrive with a hard copy of their booking, they have the option to either take it away with them or leave it with us to shred.
Who has access to your data?
Only senior members of staff will have access to your data when it is relevant to do so, such as contacting you regarding changes in your booking.
In cases of a medical emergency, we may pass on any medical conditions which you have disclosed to us on the AOR to a medical personnel e.g. Paramedic, A&E staff.
